Set Up for Thermal 4 x 8 or 4 x 8 1/4 Labels with Extended Area

You can use Thermal 4" x 8" or 4" x 8¼" (or local equivalent) stock to print shipment labels with an extended area. The extended area (2 inches or local equivalent at either the top or the bottom) allows you to customize your labels with a shipment label header, generic barcode, preprinted label stock, SSCC-18 barcode, graphical image (company logo), or reference numbers. In addition to printing reference numbers in the extended area, you can print two reference numbers as part of the label information. See Configure Reference Numbers to Print on Labels.

To set up the thermal label printer to print Thermal 4" x 8" or 4" x 8¼" (or local equivalent) labels with an extended area:

  1. On the Tools tab, select System Preferences and then Printing Setup. The Printing Setup tab in the System Preferences Editor window appears.

  2. Select the printer in the Printer grid for which you want to set up labels.

    Tip:
    If your printer is not shown in the Printer grid, see Install a Label Printer.

  3. Click the Label Printer Setup button. The Label Printer Setup window appears.

  4. If the correct printer appears in the Name box, skip to step 8. If the correct printer does not appear in the Name box, continue with step 6.

  5. Under Printer, click the Change Label Printer button. The Printer Selection window appears.

  6. Select your thermal label printer and click the Select button. The Label Printer Setup window appears again.

  7. Under Label Configuration:

  8. Click the down arrow in the Label Stock Dimensions box and select Thermal 4x8 or 4x8¼ (or local equivalent).

  9. Click the down arrow in the Extended Area Usage box and select what you want to print in the extended area of the label. Your choices are: (None), Shipment Label Header, Generic Barcode, Preprinted Label Stock, SSCC-18 Barcode, Graphical Image (Company Logo), and Reference Numbers.

    Tip:
    If you select reference numbers to print in the extended area and then select the same reference numbers to print as part of the label information, those reference numbers will not print in the extended area.

  1. Click the Apply button. The Printing Setup tab in the System Preferences Editor window appears again.

  2. In the Printer grid, verify that the Printer Name shows your printer, Label Stock Dimensions shows Thermal 4x8 or 4x8¼ (or local equivalent), and Extended Area Usage shows (None), Shipment Label Header, Generic Barcode, Preprinted Label Stock, SSCC-18 Barcode, Graphical Image (Company Logo), or Reference Numbers.

  3. Select other label options specific to this label as needed:

  4. Select the Default Printer check box if this printer is the default for this printer type. One default printer is allowed for each printer type.

  5. If you selected the Generic Barcode or SSCC-18 Barcode for the extended area in step 8, click the down arrow in the This Reference Number is Assigned to the Selected Barcode box and select the reference number to be encoded in the barcode.

    Tip:
    You must enter the actual barcode for this option in the corresponding Reference Number box on the Reference tab in the Shipping window.

  6. If you selected Graphical Image (Company Logo) for the extended area in step 8, click the Select Image button on the Preferences tab in the Shipper Editor window and then select the image file you want to use in the extended area.

    Tip:
    In order for the image to print, you must specify Graphical Image (Company Logo) for the Label Configuration (see step 8) and the location of the graphical image (this step).

  7. If you selected Reference Numbers for the extended area in step 8, type the reference numbers on the Reference tab in the Shipping window.

  8. Select the appropriate consignee label check boxes. If you select the Print Freight Consignee Label check box, select either Per Handling Unit or Per Piece.
