Notes:
The Address Validation and Classification Tool validates all US 50 addresses. It does not validate any other addresses, including Army Post Office (APO), Fleet Post Office (FPO) or Diplomatic Post Office (DPO) Ship To addresses.
To classify the address automatically when you validate an address, set the Classify Ship To Address system preference. See Set Miscellaneous System Preferences. The system preference does not apply to Canada addresses, which are not validated.
Use the Address Validation and Classification Tool to validate addresses in a batch. This process includes:
Collecting the addresses. The collection process checks the status of each address and collects address information if the status is one of the following: Not Validated, Pending (for more than 14 days) or Validated (for more than 180 days). See Understand the Validation Status of an Address.
Downloading the validated addresses.
Reconciling the validated addresses.
To validate addresses in a batch:
On the Home tab, select Addresses and then Address Book. The Address Book Editor window appears.
Click the Send Addresses for Validation button. The Address Collection window appears.
View the progress of the collection of addresses. After the collection is complete, the following message appears: "Your addresses will be sent for validation. You will receive a message when your addresses are returned for resolution."
Click the OK button. The Address Book Editor window appears.
Click the Close button. The Shipping window appears.
Resume your usual UPS WorldShip activities. When the validation is complete (which may take at least 4 hours), the Batch Address Validation Response Notification window appears.
Take the appropriate action as follows:
Click the Download Now button to download the validated addresses immediately. When the download is complete, the following message appears: "The address validation responses were successfully downloaded."
Click the Defer button to postpone the download of the validated addresses until your next communication session with the UPS Data Centre. You can defer the download three times; thereafter the Defer button becomes inactive, and you must click either the Download Now or the Delete button.
Click the Delete button to delete the address validation responses. Deleting the address validation responses may cause service delays to occur on future shipments if an invalid address is used. To validate your addresses and avoid potential service delays, you must repeat the address validation procedure.
Click the OK button.
On the Home tab, select Addresses and then Address Book. The Address Book Editor window appears.
Click the Resolve Returned Addresses button. The Postal Code Update Notification window appears. This window allows you to select or decline automatic reconciliation of addresses that require a postal code update.
Tip: The postal code consists of a 5-digit ZIP Code plus a 4-digit add-on code. The postal code is commonly referred to as Postcode+4.
Do one of the following:
To select automatic reconciliation of +4 updates, select the Add the +4 to My Existing Postcode check box. If you do not want to see this window during future address reconciliations, select the Don’t Show This Screen Again check box.
To select manual reconciliation of +4 updates, clear the Add the +4 to My Existing Postcode check box.
Click the Update button. If you selected the Add the +4 to My Existing Postcode check box, each address requiring only a +4 update is updated automatically. If you cleared the Add the +4 to My Existing Postcode check box or if additional addresses require reconciliation, the UPS Address Reconciler window appears.
Tip: If you click the Cancel button, the +4 updates are not updated automatically and the UPS Address Reconciler window appears.
Click the down arrow in the Company Name box to view the addresses requiring reconciliation and select a company name. The original address information appears in the corresponding boxes on the left.
Use the suggested candidates or the range candidates on the right to update the original address information:
If suggested candidates are available, use the scroll bars to review the candidates, select the appropriate candidate and click the Accept button. The address information for the selected suggested candidate replaces the original address information on the left.
If range candidates are available, use the scroll bar to view the candidates, determine if the address falls within a valid address range and manually correct the original address information on the left.
Tip: If you change the address information, but then determine that you want the original address information, click the Restore Original Address button.
Use the buttons in the lower left to complete reconciliation for the displayed address:
Click the Save button to save the address displayed on the left in this window. If the address is valid, the address is marked Valid and saved in the Address Book, the corresponding item is removed from the Company Name box and the next address is automatically selected for reconciliation. If the original address was altered, the address is submitted for interactive validation. See Validate an Address Interactively.
Click the Keep Original button to save the original address, regardless of its validity. The address is saved in the Address Book, the corresponding item is removed from the Company Name box and the next address is automatically selected for reconciliation.
Click the Skip button to skip the address. The next address is automatically selected for reconciliation.
Repeat steps 14 and 15 for each company or customer listed in the Company Name box.
Click the Exit button to close the UPS Address Reconciler window. The following message appears: "The addresses that were resolved will now update your address book. Please select OK to start this process."
Click the OK button.
