How To Import Files

Rather than manually entering files of CampusShip data, administrators can import a file to add to an existing file or write over a list of existing information. To import a file, enter a file path and name, or Browse to the file location.

The import file must be a Comma Separated Value (.csv) file, a simple-text-only file in which each field is separated by a comma without spaces. Each record should be on its own line. The file must end with the .csv extension.

Using a comma as the field delimiter:
When importing information, use a comma to separate the information for each field. If a field is empty, a comma is required to "skip" to the next field. Thus, the format could contain multiple commas in a row without spaces.

Company Administrators can:

  • Import locations
  • Import users
  • Import a Corporate Address Book or addresses
  • Import reference numbers


Additionally, UPS CampusShip users and Location Administrators have the ability to:

  • Import addresses for their UPS (personal) Address Book
  • Be granted authority to import users or corporate addresses (Location Administrators only).

File Importing Limitations

A file is limited to approximately one megabyte. Depending on the information you are attempting to import, you may need to split the data into separate files.

Specific limitations apply when importing these file types:

  • Corporate addresses: 100,000 maximum
  • Personal addresses: 2,000 maximum
  • Reference number values: 300,000 maximum

How To Create a .csv File

The file type known as .csv stands for Comma Separated Value (.csv), a simple-text-only file in which each field is separated by a comma without spaces. All fields are included whether populated or not (so there can be multiple commas without spaces). Each record should be on its own line. At the end of each line of data, there is a carriage return/line feed (for example, an Enter character), which starts a new line.

You can easily create a .csv file from a spreadsheet program such as Microsoft Excel, and most other spreadsheet programs function the same way. Start with Excel running and the table containing the data displayed on your screen.

  1. Go to File on the Excel tool bar, and select Save As.
  2. In the Save window, choose where you want to save the document from the drop-down list at the top of the window.
  3. From the drop-down list under Save File as Type, select .csv for your operating system (for example, Windows NT, Windows 95, Mac OS, etc.).
  4. Name the file in the Save As field, making sure you retain the .csv filename extension.
  5. Select Save.
