How do I export addresses?

Rather than manually modifying individual addresses in your address books, an administrator can export address information to a file and modify multiple records. The modified file can then be imported back into UPS CampusShip.

  1. To export address book information, select My Settings in the CampusShip toolbar.
  2. Select Export Addresses under either the Corporate Address Book or the Personal Address Book section in the Address Books module. Selecting either link will automaticall create your export request and display the Import/Export Status page.
  3. On the Import/Export Status page, selecting Update with the appropriate export category will refresh the status of "In Progress" reports. After an export is complete, select View Data to download the exported file.


Additionally, you may select one of the export links under Import/Export Files in the side menu of the Administration section. Selecting the link will create your export request.

How do I export locations?

Rather than manually modifying single locations, an administrator can export location information from UPS CampusShip to a file, modify multiple records, and then import the modified file back into UPS CampusShip.

  1. To export location information, select Adminstration from the CampusShip toolbar. Then select Manage Locations under Administer CampusShip. Select Export Locations. To retrieve location results, enter a location name and set the filtering criteria (i.e., "contains" or "exactly matches"). If you are unsure of the location spelling, select the Search link to find and select a location name.
  2. Select one or more locations from the results. To set which location fields to include in the export file, select Export Data. Optionally, you can select View Selections if you have many selections and want to view a consolidated list of your selections.
    Note: Results sets can fill several pages. To navigate through a long list of results, use the Next and Previous links. To export all administered locations, select Export Data for All Locations Administered, instead of searching.
  3. On the Export Location Fields page, select the fields to export. To create your export location file request, select Export Data. Your request will automatically be created and the Import/Export Status page will be displayed.
  4. On the Import/Export Status page, selecting Update with the appropriate export category will refresh the status of "In Progress" reports. After an export is complete, select View Data to download the exported file.

How do I export reference numbers?

Rather than manually modifying individual reference numbers, an administrator can export reference number information to a file and modify multiple records. The modified file can then be imported back into UPS CampusShip.

To export reference number information, select Administration from the CampusShip toolbar. Then select Export Reference Numbers under a reference number list displayed on the Manage Reference Numbers Page.

Your request will automatically be created and the Import/Export Status page will be displayed. On the Import/Export Status page, selecting Update with the appropriate export category will refresh the status of "In Progress" reports. After an export is complete, select View Data to download the exported file.

How do I export users?

  1. To export user information, select Administration on the CampusShip toolbar. Next, select Manage Users, and then select Export Users. A user search screen displays.
  2. Enter a location name to retrieve all users assigned to a location. If you are unsure of the location spelling, select the Search link to find and select the location name. Optionally, enter a name or phrase to filter the search results for a location. For example, to retrieve all users named Smith from Location X, enter "Smith" in the search field, and location X in the location name field.
  3. Select one or more users from the results. To create your export users file request, select Export Data. Optionally, you may select View Selections if you have many selections and wish to see a consolidated list of your selections. To create your export users file request, select Export Data.
  4. Your request will automatically be created and the Import/Export Status page will be displayed. On the Import/Export Status page, selecting Update with the appropriate export category will refresh the status of "In Progress" reports. After an export is complete, select View Data to download the exported file.


Note:

How do I check the export file status?

After creating your export file request, a screen displays allowing you to check the status of your export request.

Export File Request Status can include:

  • In Progress: This indicates that an export request is being processed and will complete momentarily, depending on size. To view the latest status, refresh the page.
  • Completed: Displays a link to View Data.
  • Completed with Errors: Displays links to View Data and View Errors.
  • Failed: Displays a link to View Errors.


To check the status of other export activities, select Show All, Location Only, User Only, Corporate Address Book Only, or Reference Number Only from the drop-down list.

The Export file will be a Comma Separated Value (.csv) file, a simple-text-only file in which each field is separated by a comma without spaces. Each record in an exported file will be on its own line. If a field is not required or empty, a comma is inserted to "skip" to the next field. Thus, the format could contain multiple commas in a row without spaces. The file will end with the .csv extension.
