How To Export Files

Rather than manually modifying individual users, locations or reference numbers, an administrator can export information to a file and modify multiple records. The modified file can then be imported back into UPS CampusShip to add to an existing file or write over a list of existing information.

The Export file will be a Comma Separated Value (.csv) file, a simple-text-only file in which each field is separated by a comma without spaces. Each record should be on its own line. The file should end with the .csv extension.

Using a comma as the field delimiter:
When exporting information, a comma will be used to separate the information in each field of a record. If a field is empty, a comma is inserted to "skip" to the next field. Thus, the format could contain multiple commas in a row without spaces.

Company Administrators can:

  • Export locations
  • Export users
  • Export a Corporate Address Book
  • Export reference numbers

How To Export a .csv File

You can easily export and modify a .csv file in a spreadsheet program such as Microsoft Excel and most other spreadsheet programs.

  1. Select the file type to export under one of the Manage topics in Administer UPS CampusShip.
  2. For some file types, such as Reference Numbers, you can select directly from the Reference Number Lists page. For other file types, such as locations and users, you can search and select multiple candidates from a results set, and then initiate the export.
  3. The status of your export may be reviewed on the Import and Export Status page. If your export request completes or fails with errors, you can access details of the errors.
