Quantum View Data FAQ

Why should I sign up for Quantum View Data?
Quantum View® Data services provide increased visibility into the movement of goods associated with your organization. This proactive information gives you a new perspective into your business operations and powerful information to help you bill faster, solve customer service problems, manage inventory, sell goods in-transit, and manage staffing levels. This yields savings in time and money, as well as improved customer relationships.

Quantum View Data provides you up to hourly updates about your inbound and outbound packages in a secure Web environment. With Quantum View Data - Inbound, you can see the UPS packages being sent by multiple vendors to your specific receiving locations. Quantum View Data - Outbound provides a view of the packages you ship using your UPS accounts. Quantum View Data - Alternate Billing provides a view of packages billed freight collect, third party, and consignee billing. This critical shipment information can help you: 

  • Provide proactive customer service by managing issues before they arise
  • Improve operational resource planning and management
  • Streamline receivables and payment processes
  • Improve inventory management and reduce inventory costs

You can receive e-mail notifications when files are ready for download. Flat file, CSV, or XML formats allow you to import files directly into software such as Microsoft® Excel, Word, Access, Lotus 1-2-3, SQL and Oracle® databases, and other database applications.

How do I sign up for Quantum View Data?
Contact your UPS Representative in order to sign up for Quantum View Data.  If your company has already been setup with Quantum View Data, your UPS Representative will put you in touch with your Quantum View Company Administrator, at your location.

Do I need a UPS account to sign up?
Yes. You must have at least one UPS Account Number for which you would like to receive shipment information to subscribe to Quantum View Data.

What shipping information is contained in Quantum View Data files?
To receive shipping information in Quantum View Data, the shipping information must come from PLD-compliant shipping systems.

The following PLD-compliant shipping systems support shipping information for Quantum View Data:

  • WorldShip® (U.S. origins) version 3.5 or higher
  • WorldShip (international) version 3.5 or higher
  • UPS Internet Shipping
  • UPS Electronic Manifesting (for applicable domestic and international origins) SPF or PUFF (Simplified PLD format) versions 1.0, 2.0, 5.0, 5.5, and 7.0 - PLD0200
  • Host Manifest Upload SPF or PUFF versions 1.0, 2.0, 5.0, 5.5, and 7.0
  • UPS OnLine Host Access SPF or PUFF versions 1.0, 2.0, 5.0, 5.5, and 7.0
  • EDI - UPS ANSI 204 and 215 Manifest Transaction
  • UPS OnLine Compatible Vendor Shipping Systems version 7.0 or higher
  • UPS CampusShipSM
  • UPS Online Shipping Tools
  • UPS Returns On The Web

The following shipping systems do not support shipping information for Quantum View Data:

  • UPS OnLine Professional
  • OnLine Office
  • UPS WorldShip Intranet
  • UPS Online Teleship
  • UPS compliant Vendor Shipping Systems lower than 7.0
 

Quantum View Data - Inbound provides the ship date, shipped from address and shipped to address, and forecasted delivery dates for inbound packages, including scheduled day of delivery, as well as any exception updates that could change these delivery dates. For exception updates, the rescheduled day of delivery is calculated. You can also receive complete delivery information in addition to this information.

With Quantum View Data - Outbound, you can receive complete information about outbound packages. Data include shipping information updates through delivery with ship date, exception, and delivery detail. You can also add data elements for a complete manifest.

With Quantum View Data - Alternate Billing, you can receive complete information about packages shipped freight collect, third party, and consignee billing. Data include shipping information updates through delivery with ship date, exception, and delivery detail. You can also add data elements for a complete manifest.

Note: Quantum View Data information is not valid for guaranteed service refunds.

Quantum View® Data - Inbound is a secure Web-based service that provides you with detailed inbound shipment data from vendors and suppliers. You can receive this shipment data up to hourly in file formats (flat file, CSV, or XML) that you can easily import into most systems and software. The service is easy to use and provides valuable information that can help you better manage your business.

How can I use Quantum View Data - Inbound within my organization?
Quantum View Data - Inbound gives you the flexibility to use critical shipment data within your organization according to your specific needs. You can use this information to:

  • Improve inventory management and planning
  • Sell goods that are in transit from your vendors/suppliers
  • Efficiently allocate production and receiving staff based on incoming shipment volume
  • Proactively notify your sales force and service technicians that critical shipments have arrived
  • Reduce time spent tracking individual packages
  • Analyze data by using file formats that import directly into familiar desktop applications or enterprise systems

What is a Location ID and how do I use it?
A Location ID is a unique identifier that designates a specific receiving location in your company. Information about the shipments shipped to your Location ID address can be provided to you via Quantum View® Manage or Quantum View® Data. A Location ID is comprised of three to 10 capital letters and numbers.

Contact your UPS Representative to create a Location ID. Once created, send the Location ID to the vendor and supplier and request that the Location ID is included as part of the address and account information stored about your organization in their shipping system. When your vendors and suppliers ship to the receiving location, the Location ID is uploaded to the UPS system. UPS then captures tracking information about all the shipments your vendors ship to the address in the Location ID.

There can be many different Location IDs for a single receiving address.

Which shipping systems support Location IDs for Quantum View Manage and Quantum View Data?
The following PLD-compliant shipping systems support Location IDs for Quantum View Manage and Quantum View Data:

  • WorldShip®  (domestic origins) version 3.5 or higher
  • WorldShip (international origins) version 3.5 or higher
  • UPS Internet Shipping
  • UPS Connect
  • UPS Connect Anywhere
  • UPS CampusShipSM

Can multiple Location IDs refer to the same receiving location?
Yes, multiple Location IDs can be associated with a single address. This gives businesses more flexibility in using Quantum View®.

For instance, several businesses may have the same street address, but different suite numbers. Each of these businesses can create its own unique Location ID, even though they share the same street address.

Additionally, different departments within a company may also want unique Location IDs, so they can only view shipment information for their department's vendors. When possible, companies should use the same Location ID, so vendors have fewer Location IDs to include when addressing shipments.

Please be aware that using the same Location ID is preferable when possible, so your vendors have fewer Location IDs to include when addressing shipments.

What service options are available with Quantum View Data - Outbound?
When you subscribe to Quantum View Data - Outbound, you can choose from these three service options

Outbound Notification

  • Provides complete information about outbound packages
  • Includes significant supply chain status updates through delivery with ship date, exception, and delivery detail
  • Allows you to add data elements for a complete manifest

Delivery Notification

  • Provides delivery details and manifest information, including ship date, date and time of delivery, reference number, full delivery address, COD amount collected, and other valuable delivery information
  • Allows you to add origin information and complete manifest data elements
  • Does not include the signature image or exception updates

Exception Notification


  • Provides information about packages that will not make the scheduled delivery date
  • Provides exception status and re-scheduled date of delivery
  • Provides a limited amount of manifest information

What is Quantum View Data - Alternate Billing?
Quantum View Data - Alternate Billing provides detailed in-transit shipment information about packages that are billed to your UPS account number as freight collect, third-party, or consignee billing.  Quantum View Data - Alternate Billing allows you to download shipment status updates up to hourly. These reports come in three different formats (flat files, CSV, and XML) that can be quickly and easily imported into most systems and software. How can I use Quantum View Data - Alternate Billing within my organization?
Quantum View Data - Alternate Billing gives you the flexibility to view critical shipment information about packages that have been billed to your accounts but not shipped from your location.

You can use this information to:

  • Bill your customers as soon as shipments arrive, improving the efficiency of your receivables process
  •  Aggregate shipping information across shipping platforms and from multiple locations
  • Improve inventory management and planning
  • Provide proactive customer service by notifying customers before their shipment is due
  • Reduce time spent tracking individual packages
  • Manage the effectiveness of fulfillment warehouses who ship on your behalf

How do I retrieve my Quantum View Data files?
Quantum View Data files are posted up to hourly to UPS.com for downloading. The file download is secured and password-protected. After logging in, you can select the files you would like to download. Files are available for download for seven days after posting. After seven days, you can no longer access files. There is no limit to the size of a requested download. You should expect download times to increase with the size of the downloaded files.

Quantum View Data File Name Format
Files listed as ready for download are named based on the date and time they were created. The naming format is as follows:

mmddyyyy-hhmmss###.txt

  • mm = month
  • dd = day of the month
  • yyyy = the four digit year
  • hh = hour
  • mm = minute
  • ss = second
  • ### = File segment identifier (used to locate and describe the data)

You can receive an e-mail notification when you have a file ready to download by opting in for this feature during the subscription process or later in your subscription details.

What file formats can I choose from?
You can receive files in CSV (comma separated values), flat file, or XML formats. Only one file format type can be used for each subscription, but you can change the format any time. These file types can be imported into software such as Microsoft® Excel, Word, Access, Lotus 1-2-3, SQL and Oracle® databases, and other database applications. Details about accepted file formats are as follows:

  • CSV (comma separated value) files contain table data assembled in lines of plain text with the values from each cell separated by a comma and each row represented with a new line. A CSV file can be imported easily into Microsoft Access and Excel.
  • Flat files are text files from which all word processing, structure, or markup characters have been removed. They generally take up less space than formatted files and can be used for Oracle, SQL, Lotus 1-2-3, or other database software.
  • XML (Extensible Markup Language) is a flexible way to format information so it can be shared on the Web or intranets. With XML, you can create standard ways to describe content, so information is shared consistently. XML uses the tags only to delimit pieces of data, and leaves the interpretation of the data completely to the application that reads it. XML appeals to users who have the need to download files to their individual desktop computers or to their local area network for use in Microsoft Excel, Access, Oracle, SQL, Lotus 1-2-3, or other database software, as well as into enterprise systems.

How do I use flat files?
For help using flat files, download the Flat File Guide. The Flat File Guide can be obtained from the Downloads page, which you may access by logging into UPS.com. From the homepage select the Tracking tab, select Help from the left-hand navigation column, select Quantum View Data, then Downloads.

Each record within the file has a certain number of character spaces. Each character space is designated to a particular data element. For example, if characters 1-6 are shipper number (123456) and 7-8 are state (NC), it would look like 123456NC in the file. Fields that are not filled in within a record must still be accounted for and have their character spaces left blank in the flat file.

How do I use CSV files?
For help using CSV Files, download the CSV File Guide. The CSV File Guide can be obtained from the Downloads page, which you may access by logging into UPS.com. From the homepage select the Tracking tab, select Help from the left-hand navigation, select Quantum View Data, then select Downloads.

A CSV file can be imported easily into Microsoft Access or Excel. The type of records included in your Quantum View Data CSV files is dependent on the configuration of your subscription.

Why are there no files to download?
When there is no package activity, no updates will be posted for download. The service option you select affects the amount of activity that is recorded and made available to you for download. For example, if you only choose Exception Notification for Outbound and there are no delayed packages, then there will be no information to download even though you have shipped packages.

How often can I receive updates?
You can receive updates up to hourly throughout the day. Depending on your particular shipping activity, you can potentially receive up to 24 updates a day.

If you choose to be notified via e-mail, a notification will be sent to you containing a link to the Get Quantum View Data Files page when there is updated information available for download. Once you log into UPS.com, you can see all your current files and previously downloaded files that are stored for seven days. All of your unread files can be downloaded at once, or you can select specific files to download. You will be able to view the total file size and estimated download time based on a 56k modem connection speed. There is no limit to the size of a requested download. You should expect download times to increase with the size of the downloaded files.

Note: E-mail notifications will not be sent during regularly scheduled system maintenance.

What is UPS OnLine Tools File Download for Quantum View Data?
UPS OnLine® Tools File Download for Quantum View Data is a UPS File Download Application Programming Interface (API) that allows access to UPS transportation functionality residing on UPS servers. Your IT professional will be required to use advanced programming such as Java to develop a program to receive Quantum View Data information over the Internet in XML. Your IT professional can also integrate the results into your Web site or e-commerce solution.

UPS File Download for Quantum View Data allows you to automate the file retrieval process and import Quantum View Data information directly into your back-end systems. No need for logging in to download files manually.

Create your own schedule to retrieve Quantum View Data information when you need it, up to every hour. After you have integrated the tool, shipment information automatically downloads from UPS at the times you specify. When integrated with your enterprise systems, UPS File Download can help you streamline your business processes and provide more proactive customer support.

Integration of UPS File Download requires information technology staff familiar with XML. During integration, you can still access your updated files from the Get Quantum View Data Files page.

How do I get UPS OnLine Tools File Download for Quantum View Data?
To get UPS OnLIne Tools File Download for Quantum View Data, you must first subscribe for Quantum View Data, ensuring that you select the XML file format for your subscription. Once your subscription has been created, you must then request UPS OnLine® Tools File Download for Quantum ViewTM. After receiving your subscription confirmation, you'll be presented with information about the UPS File Download tool, together with directions on how to download a Developer's Key from UPS.com to get started.

Can UPS File Download for Quantum View Data download file formats other than XML?
If your Web site or enterprise system requires the conversion of XML to another file format such as CSV or flat file in order to integrate, your information technology professional will be required to program this functionality.

UPS understands the importance of protecting your information. UPS.com uses security technology to safeguard your personal information. Other measures include a UPS Representative assisted process for establishing the Company Administrator, who manages access to a specific UPS account.

Can I deactivate my subscriptions and reactivate them later?
Yes. UPS gives you the flexibility to deactivate and reactivate your Quantum View Data subscriptions according to your needs. For instance, you may want to activate the service only during times of the year when your shipping is most active. When you deactivate your subscription, Quantum View Data files will not be posted. File updates will resume when you reactivate your subscription.

How do I delete my subscription?
To make delete your Quantum View Data Subscription, go to Quantum View Administration - Manage Data Subscriptions page.  Select Quantum View Data to access your subscription, select Delete next to the subscription that you want to delete, and follow the instructions. 

If you delete a subscription, you will need to sign up again if you wish to use the subscription in the future. You can, however, deactivate a subscription for a period of time and reactivate it later to avoid permanently deleting your subscription.

What changes can I make to my Quantum View Data subscription?
You can add or delete the UPS accounts for which you have been authorized to view  shipment information.  Additionally you can change your service options, and your file download preferences.

To add accounts, please contact your UPS Representative.

To make changes to your Quantum View Data subscription, go to Quantum View Data Administration - Manage Data subscriptions page.  Select the Quantum View Data service to access your subscriptions, select Edit next to the subscription that you want to change.  Make the changes and select Submit to save the changes.

You can associate up to 999 UPS accounts with a subscription to Quantum View Data.
