How do I process a package/shipment?
For step by step instructions, go to Help Using WorldShip.

There are many possible options for processing shipments. Once you are familiar with UPS WorldShip, you may complete the steps in a different order. 

To process a shipment:

  1. Select a Shipper and a Profile.
  2. Enter the Ship To address information.
  3. Enter the Ship From address information.
  4. Specify the shipment-level details, such as:

    • A UPS service, package type, and billing option.
    • Shipment-level options.
    • Shipment reference numbers.
    • Special instructions for the shipment.
       
  5. Specify the details about the package, such as:

    • The package weight if the package is not a UPS Letter service (Next Day or Worldwide Express).
    • Package-level options.
    • The size of the package if needed and any merchandise descriptions.
    • Package reference numbers.
       
  6. Add packages as needed by selecting the Add button on the Shipment Navigation Bar and repeat step 5 for each additional package.
  7. For an international shipment, record the export document and goods details.
  8. When you are finished, select the Process Shipment button.

How do I process an Air Freight Shipment?

From the main shipping window:

  1. Select UPS Web Access, and select Create UPS Air Freight Shipment.
  2. The create a shipment window opens.
  3. Indicate the Ship From (Origin) and Destination (Ship To) addresses for your freight shipment, and select a Freight service.
    • UPS Next Day Air Freight
    • UPS 2nd Day Air Freight.

Required fields are indicated in bold.

How do I ship using Third Party Billing?

From the Service tab, select the down arrow in the Bill Transportation To box and select Third Party. Select the ... button and The Third Party Window appears. You must supply this information.

Use the bill-to field to indicate who pays for the transportation charges to ship a package or shipment.

How do I add Options?
Shipment and Package Options

On the Options tab, in the Shipping window, you can specify both shipment-level and package-level options. A shipment-level option applies to all packages in a shipment. A package-level option applies only to a single package in a shipment.

The following options may appear under Shipment Options and/or Package Options:

Note: To determine option availability, refer to the UPS Rate and Service Guide.

Additional Handling

On the Options tab select Additional Handling. The cost for the displayed option and the total cost for all selected options are shown in the lower-right corner of the Options tab. For more cost details, select the Detail Cost button to display the Shipment Detail Cost window.

A shipment from any origin to any destination that requires additional handling due to its size or packaging is assessed an Additional Handling charge per package.

Additional Handling charges are applied without regard to the service level selected.

Call Before Delivery

Ground Freight option - A request initiated by the shipper to Ground Freight to call a customer as a condition necessary for delivery, or to make arrangements for customer pickup at a ground freight's service center.

Collect on Delivery (COD)

For step by step instructions, go to Help Using WorldShip.

On the Options tab select COD. Entry fields appropriate to that option appear at the right. The cost for the displayed option and the total cost for all selected options are shown in the lower-right corner of the Options tab. For more cost details, select the Detail Cost button to display the Shipment Detail Cost window.

UPS accepts COD shipments for delivery to any destination.

When you select this option and type the COD amount in the Amount box, the COD information prints on the label. The UPS driver scans the label and is alerted to collect payment upon delivery. Your customer pays the UPS driver for the cost of the package, and UPS sends this payment to you.

Construction Site Delivery

Ground Freight option - A limited access location that requires a pre-arranged agreement with the consignor or consignee regarding the date and time (approximate) of delivery.

Customs Value

The total invoice amount (excluding discounts, freight, insurance, and other charges) for a United States to Puerto Rico or Canada shipment. This amount is required by United States Customs and must be equal to the Invoice line total of the shipment.

Dangerous Goods

A dangerous good is a substance that is capable of posing an unreasonable risk to health, safety, or property when transported in commerce. UPS accepts packages containing dangerous goods on a contract only basis.

All dangerous goods tendered to UPS for shipment must be classified, packaged, marked, and labeled in accordance with the UPS Guide for Shipping Ground and Air Hazardous Materials in effect at the time of shipment and all applicable government laws and regulations. The origin and destination of the shipment as well as the mode of transportation determine the valid regulation set.

UPS WorldShip must communicate with an external Dangerous Goods Shipment Preparation program for all shipments that contain dangerous goods. WorldShip receives and transmits the dangerous goods details electronically to UPS. An additional charge is assessed for each dangerous good package.

You must set up WorldShip to produce the appropriate dangerous goods documentation:

  • You can export the dangerous goods data to a CSV-formatted file and then generate the dangerous goods documentation using the UPS Hazardous Materials Software.

  • You can use an external third party dangerous goods system, the system must be configured through the 32-bit ODBC Administrator prior to using the HAZMAT/DG option.

You must attach a UPS Shipping Paper for Dangerous Goods to each dangerous goods package. Also, you must give your UPS driver a UPS Shipper's Certificate for Dangerous Goods (manifest for all the dangerous goods picked up from a single address by a UPS vehicle). UPS cannot accept your package without these two pieces of documentation.

Declared Value

On the Options tab, select Declared Value. Entry fields appropriate to that option appear at the right. The cost for the displayed option and the total cost for all selected options are shown in the lower-right corner of the Options tab. For more cost details, select the Detail Cost button to display the Shipment Detail Cost window.

The value of the package declared by the shipper for purposes of obtaining additional protection against loss or damage.

Delivery Confirmation

On the Options tab, select Declared Value. Entry fields appropriate to that option appear at the right. The cost for the displayed option and the total cost for all selected options are shown in the lower-right corner of the Options tab. For more cost details, select the Detail Cost button to display the Shipment Detail Cost window.

Provides automatic confirmation of delivery for any package you designate. Confirmations are faxed, phoned, or printed and sent to you automatically after delivery is completed.

An additional charge is assessed for each confirmation.

Dry Ice

Shipments of non-dangerous goods that are packed in dry ice do not require shipping papers or a contract. The UPS shipping label will contain the required regulatory text when the Dry Ice package option is selected. The package must be marked and labeled appropriately for the regulation set selected.

Note:

  • This option is available for all residential and commercial origins and destination in the U.S. 50 and Puerto Rico.
  • This option is available for Small Package shipments only.

E-mail Notify

Ground Freight Option: The E-mail Notify option allows you to specify up to five recipients to be notified for one of these Notification Types:

  • Ship Notification: An e-mail that alerts the recipients that package or shipment information has been received by UPS.
  • Exception Notification: An e-mail that alerts recipients of a rescheduled delivery date; you will receive one email for each package with an exception.
  • Delivery Notification: An e-mail that alerts the recipients about the delivery of a package or shipment, including the date, time, and name of the recipient.

E-mail BOL and Labels

Ground Freight Option - The E-mail BOL (Bill of Lading) and Labels option allows you to specify the following:

  • Five e-mail addresses to notify
  • A subject line of up to 40 characters
  • A memo of up to 250 characters

Flexible Parcel Insurance

A contract-only option that offers protection against loss or damage to parcels and other shipments for shippers with U.S. and Puerto Rico origins. The following package insurance plans are available:

  • Basic: Protection against a broad class of losses resulting from the loss or damage of parcels. It is similar to Declared Value buy with more flexible conditions and limitations. Example are the face value of phone cards and gift certificates.
  • Expanded: Protection of items under other insurance programs insuring against the loss or damage of various items, and where other protections exist. Example are coins, stamps, and certain collectibles.
  • Time in Transit: Protection for perishables and other time-sensitive shipments such as mortgage and title documents. It allows UPS shippers to insure and file claims again time-sensitive losses resulting from late delivery. Specific examples are coverage of perishable items from pharmaceutical companies, food distributors, and flower distributors; coverage of interest and late payment fees on mortgage checks; and coverage of substitution costs for airline tickets and travel documents.

Food Items

Provides confirmation of all food items for human or animal consumption that are imported into or transiting through the United States.

If your shipment includes food items to be imported into the United States, you must:

  • Select this check box.
  • Per the U.S. Food and Drug Administration (FDA), provide a U.S. FDA Food Imports Prior Notice Form in order for your shipment to clear U.S. Customs.

Handling Charge

On the Options tab select Handling Charge. Entry fields appropriate to that option appear at the right. The cost for the displayed option and the total cost for all selected options are shown in the lower-right corner of the Options tab. For more cost details, select the Detail Cost button to display the Shipment Detail Cost window.

Holiday Delivery

Ground Freight Option - WorldShip will display instructions to contact Ground Freight Customer Service to schedule a delivery on a ground freight holiday.

Holiday Pickup

Ground Freight Option - WorldShip will display instructions to contact Ground Freight Customer Service to schedule a pickup on a Ground Freight holiday.

Inside Pickup

Ground Freight Option - When requested, Ground Freight loads or unloads shipments from or to areas that are not next to the trailer such as shopping malls or office buildings. An elevator must be available to provide service to floors above or below the trailer.

International Special Commodity

If the International shipment contains biological substances (formerly know as diagnostic specimens), check the International Special Commodities (ISC) check box under Shipment Options, and check the Biological Substance check box under the ISC Types section.

UPS does not accept Infectious substances in the small parcel environment.  Biological substance, Category B, falling under 49 CFR (Code of Federal Regulation), does not require shipping papers and is acceptable in the UPS system domestically. The packaging and marking for these materials must meet the requirements set forth in the 49 CFR or IATA (International Air Transport Association) Packing Instruction.

Note: The ISC Biological Substance option indicator and its details will be allowed for import and export as an ISC Types option in shipment data.

Lift Gate Service

Ground Freight Option - Provides lift gate service to unload a shipment when loading/unloading docks are unavailable.

Notification Before Delivery

Provides notification before delivery to the contact you designate.  Confirmations are phoned.

Quantum View Notify

For step by step instructions, go to Help Using WorldShip.

On the Options tab, select Quantum View Notify. Entry fields appropriate to that option appear at the right.

Allows you to send an e-mail to your customer or a third party informing them of details associated with the shipment.

Residential Delivery

Ground Freight Option - If the Residential box is checked on the Ship To tab on the Shipping window, the Residential Delivery option will be automatically selected. You may check or clear the check box of this option. However, WorldShip will not remove the Residential indicator from the Ship To window if the Residential option check box was cleared.

Residential Pickup

Ground Freight Option - The Residential Pickup will depend on the Residential indicator on the Ship From tab on the Shipping window. If you check the Residential box on the Ship From tab, the Residential Pickup option will be automatically checked on the Options tab. If the Residential Pickup box is cleared, WorldShip will not remove the Residential indicator on the Ship From tab on the Shipping window.

Return Notification


Replaces the Quantum View Notify package option when you select the Return Services shipment option. This package option allows you to send an e-mail to your customer or a third party informing them that the Return Services request has been processed. The return notification shows the following details for the package being returned:

  • Tracking or reference number
  • Merchandise description
  • Scheduled pickup date or the text Next Business Day (if 1 UPS Pickup Attempt or 3 UPS Pickup Attempts Return Services shipment option was requested)
  • Ship From company or name

Note:

  • If you clear the Return Services shipment option box, the Return Notification package option is replaced by the Quantum View Notify package option.
  • Specify up to five e-mail recipients.
  • Provide e-mail address.
  • E-mail Return Notifications are available for all Return Services packages.

Saturday Delivery

On the Options tab, select Saturday Delivery.

Remember to put a Saturday Delivery routing label on each package to be delivered on Saturday.

Saturday Pickup

Stretches your business week beyond the traditional Monday through Friday with optional Saturday pickup. This option is available for overnight and two-day air packages from most locations in the U.S.. These shipments receive the same guaranteed delivery times as shipments picked up on Friday.

Ship Notification

Allows you to send an e-mail to your customer or a third party informing them of details associated with the shipment.

The following types of notifications are available:

  • Ship Notification: An e-mail alerts the recipient(s) that shipment information has been received by UPS.
  • Exception Notification: An e-mail alerts the recipient(s) of a rescheduled delivery date.
  • Delivery Notification: An e-mail alerts the recipient(s) about the delivery of a shipment, including the date, time, and name of the recipient.

Note:

  • Specify up to five e-mail recipients.
  • If you type an e-mail address on the Ship To tab, UPS WorldShip automatically shows this address in the E-mail Address box for recipient 1 when you select this option.

Shipper Release

On the Options tab, select Shipper Release.

Authorizes UPS to deliver the package or letter without receiving a signature. When you select this option, you accept liability for the loss of the package after delivery has been made as provided for in the UPS Tariff/Terms and Conditions of Service in effect at the time of the shipment.

Sorting and Segregating at Destination

Ground Freight Option - Provides ground freight sorting and segregating at the destination. You must enter the number of pieces.

Special Commodities

Allows you to ship alcoholic beverages, biological substances, perishables, plants, seeds, special exception articles, and tobacco to and from approved origins and destinations. When you select this option, only those articles for which the active shipper is authorized appear.

UPS WorldShip identifies the movement of these restricted articles on the package label.

Note:

  • Special Commodities is available only if you have a contract for this option.
  • No additional charge is assessed for Special Commodities shipments.
  • Use the Profile Editor to set defaults for the information required by this shipment option.

UPS Exchange Collect

A contract-only option that requires the buyer to pay electronically for goods sold by the seller before the goods are delivered by UPS, as follows:

  1. A buyer and seller come to an agreement on the sale of a product or good.
  2. Using this option, the seller sends the following information to UPS (which in turn sends the information to UPS Capital): Buyer E-mail Address, Seller E-mail Address, Exchange Collect Amount, Currency, Buyer's Percentage (of service fee), Description of Goods, and additional Comments.
  3. UPS Capital e-mails a payment demand to the buyer. The payment demand e-mail notifies the buyer of the following:
    • A UPS Exchange Collect shipment has been shipped by the seller.
    • UPS capital must receive the total amount (the UPS Exchange Collect amount plus the buyer's percentage of the service fee) in order to complete delivery to the buyer.
  4. The buyer sends the funds to UPS Capital.
  5. When payment is received, UPS Capital instructs UPS to release the shipment for delivery to the buyer.
  6. Once delivery is verified, UPS Capital deducts the seller's portion of the UPS Exchange Collect service fee from the total amount of the goods collected from the buyer and sends the remaining funds to the seller.

Note: The following options cannot be used in conjunction with this option:  Collect on Delivery (COD), Delivery Confirmation, Dangerous Goods, and Return Services.

UPS Return Services

The following UPS Return Services are available:

  • UPS Print Return Label: The shipper prints the return label and the Return Service Customer Receipt using UPS WorldShip and includes the label and receipt with the outbound shipment. The customer applies the return label to the package and give the package to a UPS driver or drops it off at a UPS Customer Center or an Authorized Shipping Outlet. The customer keeps the Return Service Customer Receipt for tracking purposes and as proof of pick up by UPS.
  • UPS Electronic Return Label: UPS electronically notifies the customer via e-mail that a return label and receipt are available. To print the label and receipt, the customer selects the Web link in the e-mail, prints the return label and receipt using a Web browser, applies the label to the package, and gives the package to a UPS driver or drops it off at a UPS Customer Center or an Authorized shipping Outlet. The customer keeps the receipt for tracking purposes and as proof of pick up by UPS.
  • UPS Print and Mail Return Label: UPS prints the return label and mails the label to the customer. The customer applies the return label to the package and gives the package to a UPS driver or drops it off at a UPS Customer Center or an Authorized Shipping Outlet.
  • 1 UPS Pickup Attempt: The UPS driver makes one attempt to bring the package label to the pickup location and pick up the package. If the package cannot be picked up, the driver leaves the label at the pickup location, and the customer gives the package to a UPS driver or drops it off at a UPS Customer Center or an Authorized Shipping Outlet.
  • 3 UPS Pickup Attempts: The UPS driver brings the package label to the pickup location and picks up the package. If the package cannot be picked up on the first attempt, the driver attempts to pick up the package on each of the next two business days. If after three attempts the package has not been picked up, the driver returns the label to UPS.

Verbal Confirmation

Confirms delivery of your UPS Next Day Air Early A.M. shipment. Someone calls and confirms when your package arrives at its destination. You must supply the contact name and telephone number of the person to receive the confirmation call.

Note: An additional charge is assessed for each request.

Weekend Delivery

Ground Freight Option - WorldShip will display instructions to schedule a delivery on a Ground Freight weekend.

Weekend Pickup

Ground Freight Option - WorldShip will display instructions to schedule a pickup on a Ground Freight weekend.

How do I defer my shipment?
If you start to record a shipment and decide to complete it later, defer the shipment instead of deleting and reentering the shipment later.

To defer a shipment:

  1. Record as much shipment information as you can.
  2. On the Activities menu, select Defer Shipment. The shipment is saved in the Deferred Shipments list under UPS Pickup in the Shipment History window.

How do I edit a deferred shipment?
Deferred shipments are shipments that have not been completed or assigned tracking numbers. These shipments may have missing shipment information (such as the package weight). Deferred shipments remain in the Deferred Shipments list under UPS Pickups in the Shipment History window until you complete the shipments.

To edit or complete a deferred shipment:

  1. Under UPS Pickups in the Shipment History window, select the plus symbol (+) next to Deferred Shipments to display its contents.
  2. Select the deferred shipment you want to complete (that is, look for shipments without tracking numbers).
  3. Select the Edit/Reconcile Shipment button. UPS WorldShip displays the first package of the deferred shipment in the Shipping window.
  4. Edit the shipment information.
  5. If the shipment is complete, select the Process Shipment button.

How do I repeat a package/shipment?
  1. In the History window, select the package under UPS Pickups that you want to copy.
  2. Click the Repeat Shipment button. The shipment information displays in the Shipping window as a new shipment.
  3. Click the Process Shipment button.

What is Future Date Processing?
With the Future Date Processing feature, you can process a shipment with a pickup date up to 183 calendar days in the future.

Future Date Processing slightly changes the way you process and transmit shipping information. These changes include:

Pickup Date Mode - Use the System Preferences Editor to turn on Future Date Processing.

Active Pickup Date - Select an active pickup date on which your shipments are grouped in the Shipment History window. You must select this date each time you start UPS WorldShip and each time you run End of Day. The active pickup date always appears on the title bar at the top of the Shipping and Shipment History windows.

Process Shipments - As you process shipments, they are listed under Pending Pickup by the active pickup date in the Shipment History window. To begin processing shipments for a different day, choose Select Active Pickup Date on the Activities menu and select another active pickup date.

End of Day Process - Selecting the Pending Pickup group for the End of Day process. After running End of Day, select an active pickup date for your next group of shipments.

How do I process a Ground Freight Shipment?
  1. Select the UPS Freight check box.
  2. Select a shipper and a profile.
  3. Specify the Ship To address.
  4. Specify the Ship From address.
  5. Specify the shipment-level and option details, such as:
    • UPS service and bill-to information
    • Commodities Information
    • Shipping Options
    • Shipment dimensions, shipment description, and any special instructions.
    • Shipment reference numbers
    • Packing list
  6. For an international shipment, record the export document and goods details.
  7. When you are finished, select the Process button.
  8. Schedule a pickup request.

About Ground Freight

Freight refers to the mode of transportation of LTL (less-than-truckload) and TL (truck load) shipments. Freight offers regional, interregional, and long-haul services as well as a full portfolio of specialty solutions in the United States, (including Alaska and Hawaii), Canada, Puerto Rico, Guam, the U.S. Virgin Islands, and Mexico.

Check the UPS Freight check box on the Shipping window to start using this service.

Note: Charge Back Codes are not available for Ground Freight.

How do I save a Freight Shipment as a Draft?
If you have not completed your shipment, you can save it as a draft:

  1. In the Shipping window, select Activities, and then select Save As Draft.
  2. A message informs you that the shipment was saved in Shipment History as a Draft.
  3. Select the OK button. The draft shipment displays in the Shipping window in the Freight list under "Draft" with the date when it was saved.

Note: If you created a Packing List for the draft shipment, it will not be saved with the draft shipment.

When you are ready to continue work on the draft shipment:

  1. In the Shipping History window, go to the Draft list and select the Draft Shipment.
  2. On the Activities menu, select any of the following: Edit/Reconcile, Void/Delete, Mark Shipments, and Marked Shipment Activities.
  3. Continue processing the shipment.

How do I void or delete my shipment?

You can void or delete shipments from either the Shipping or Shipment History window.

To void or delete a shipment from the Shipping window, start with step 1, or from the Shipment History window, start with step 3:

  1. Select the Void/Delete Shipment button in the Shipping window. A message instructs you on how to void a package from the Shipping window.
  2. Select the OK button. The Shipment History window appears, and the last shipment that you processed is highlighted under UPS Pickups. If the highlighted shipment is the shipment that you want to void, skip to step 4; otherwise, continue with step 3.
  3. Under UPS Pickup in the Shipment History window, locate and select the pending shipment you want to void or the deferred shipment you want to delete. Information about the shipment appears on the right side of the window.
  4. Select Void/Delete Shipment on the Activities menu or select the Void/Delete Shipment button. A confirmation message appears.
  5. Select the Yes button. UPS WorldShip marks the shipment as void under Pending Pickup or deletes the shipment under Deferred Shipments.

Notes:


  • You can only void pending shipments under a Pending Pickup in the Shipment History window. When voiding a shipment, the shipment record remains in your database, but the record is marked as void under the Pending Pickup.
  • You can only delete deferred shipments under Deferred Shipments in the Shipment History window. When deleting a shipment, the shipment record is deleted from your database.
  • If a shipment is voided by mistake, you cannot "unvoid" the shipment, but you can repeat the shipment. Select the voided shipment under UPS Pickups in the Shipment History window. On the Activities menu, select Repeat Shipment. The Shipping window displays the same shipment information, and you can process the information as a new shipment.

You can only void a shipment after End of Day when:

  • UPS has received the shipment date, but has not taken possession of the shipment.

You can void shipments after End of Day from either the Shipment History window or the UPS Web Access menu.

To void a shipment from the Shipment History window:

  1. Select the individual 1Z tracking number of the package you want to void.
  2. Select Void/Delete Shipment on the Activities menu or select the Void/Delete Shipment button. The Void After EOD window appears.
  3. Select the OK button. The UPS Void Shipments Page on the Web appears for you to complete the void.

To void a shipment from the UPS Web Access menu:

  1. On the UPS Web Access menu in either the Shipping or Shipment History window, select UPS Void Shipments Page. The Web page appears.
  2. Enter the 1Z tracking number of the package you want to void and complete the void.

Note: When you void shipments from the UPS Void Shipments Page, the Shipment History window is not updated and does not indicate that you voided the shipments. To remind yourself that the shipments were voided, you can manually mark the voided shipment.

How do I view UPS Freight History?
To see Ground Freight history for shipments processed in WorldShip, select the History button on the shipping screen. This window provides information about freight shipments processed using the Shipment window.

You may see three types of folders:

  • A Dated folder containing process shipments
  • An Imported folder containing any imported shipments
  • A Draft note containing any shipments not yet processed and saved as a draft so you can continue working on it.

How do I create an Air Freight shipment?
  1. On the UPS Web Access menu, select Create UPS Air Freight Shipment.
  2. Type the necessary information.
  3. When you are finished, select the Packages button on the toolbar.

Note: The shipment history for the freight shipments that you create on UPS.com is not shown in the Shipment History window.
