- In the Pickup Log (History) window: click Edit, Find Shipment(s). The Find By window appears.
- Select your search criteria:
To search by customer name or any part of a street address, type that information in the boxes on the left.
To search by a reference number, click the down arrow in the Reference Number box, select the appropriate reference number, and then specify the value to search for in the text box beneath it. If you do not know the reference number, select Any Package Reference No. in the Reference Number box.
To search by UPS service, click the down arrow in the UPS Service box and select a service.
To search by package type, click the down arrow in the Package Type box and select a package type.
To search by shipper, click the down arrow in the Shipper box and select a shipper.
To search by tracking number, type the number in the Tracking Number box.
To search for a UPS World Ease shipment by:
Master shipment ID, type the ID in the Master Shipment ID box.
Tip: If you type a shipper number in the Master Shipment ID box, all World Ease shipments for that shipper will appear.
Importer account number, type the number in the Importer Acct. No. box.
Note: World Ease is available only if you have a contract for this service. Contact your UPS Account Executive to obtain a contract for this service.
To search for shipments sent on a range of dates, fill in the starting and ending dates in the Date Range boxes. You can select the check box in the start and end boxes and type the dates using the MM/DD/YYYY format or click the down arrows in the start and end boxes and select the dates from the calendars.
- Select how you want the shipments to be sorted:
Sort By allows you to select specific fields to sort by. For example, if you select Tracking Number, the results of your search will be sorted by tracking number.
Order allows you to sort in ascending or descending order.
Voided Shipments allows you to include or exclude voided shipments or search them exclusively.
- Click the Find button. UPS WorldShip searches the shipments, sorts the results as specified in step 3, and selects the first shipment under UPS Pickups that matches your search criteria. If more than one shipment matches your criteria, the Find Navigation bar appears, which allows you to move between the shipments in the order they appear under UPS Pickups, beginning with the oldest.
Note: If you begin to define your search and sort criteria and then change your mind, click the Clear button to remove all data in the Find By window.

You should periodically save copies of your shipment data to disk or to your local drive or network drive, especially if you are working on the Local Area Network (LAN) administrator PC. Archiving this data allows you to delete old information from your computer, yet preserve a copy for your records in case you need to view the information at a later date. To archive your shipment data:
- In the Pickup Log (History) window: click File, Archive Shipments. The Archive Shipments window appears.
- Do one of the following:
Select All Shipments to archive all shipment data.
Select All Shipped On or Before (MM/DD/YYYY) to archive only shipment data older than a certain date. The box next to this option defaults to the latest acceptable archive date. To change this date, type a date in the box. This date determines which shipment information is archived and which remains in the database.
Note: You cannot delete the most recent two weeks' worth of data from your computer.
- Select the Delete Archived Shipment from the Database check box if you want to archive your shipment data and then delete the data from your computer. Clear this check box if you want to keep the archived shipment data on your computer.
- Click the OK button. The Save As window displays a default file name containing the date, for example 20050210.mdb, which is in the format YYYYMMDD.
Note: If you are working on the LAN administrator PC, UPS WorldShip disables access for all remote PCs before archiving the data. See Enable/Disable LAN Remote PCs.
- Keep the default file name or type a new file name, and then click the Save button.
- If you select the Delete Archive Shipments check box, a message asks you to confirm the deletion. Click the OK button to delete or the Cancel button to retain the archived shipments.
- When you see 100% in the Archive Shipments window, click the Done button. A message recommends a database backup and shows the path and file name for the backup file, such as C:\Ups\Uows\Backup\Yyyymmdd.001.
- Click the OK button.

If you archived shipment information to disk or to your local drive or network drive, you can restore this information to your computer.
- In the Pickup Log (History) window: click File, Restore Shipments. The Restore Shipments window appears.
- Type the path and file name for the package data. For example, A:\20050210 (which is in the format YYYYMMDD) points to the file saved on 02/10/2005 on the disk in drive A of your computer.
- If you are not sure of the path and file name, click the Browse button. In the Open window, you can search for the appropriate .arc and .mdb files on your computer or network. Note that .arc (for archive) is the file name extension for older archived files, and .mdb (Microsoft Access database) is the file name extension for more recent archived files. When you find the correct file, select the file and click the Open button.
- In the Restore Shipments window, verify the path and file name and click the OK button. The Shipment Database in the Pickup Log window shows the restored data.
