Account-Specific Negotiated Rates

Overview

Negotiated Rates are the contract rates established with UPS and your UPS Account Representative. Enabling Negotiated Rates within your shipping or rating systems allows you to view the most current and accurate rates for your UPS account.

Note: Post-shipment charges, such as address corrections, will affect the actual rate billed and may be diferent from the rates displayed within your system.

Improving Your Business Processes

Negotiated Rates can help eliminate time-consuming and costly manual processes used to estimate discounts, including:

Invoicing: Negotiated Rates provided at the time of shipment allow you to invoice your customers sooner rather than waiting for receipt of the UPS carrier bill. You reduce Days Sales Outstanding.

Order Entry: Negotiated Rates allow you to provide better service to your customers by providing accurate rate information at order entry.

Cost Allocation: Negotiated Rates allow you to accurately allocate charges among functions or departments.

January 2nd, 2012 Negotiated Rate Changes

Beginning January 2nd, 2012 when you add UPS accounts to WorldShip, or use Account Summary to add UPS accounts to My UPS on ups.com, those accounts will automatically be enabled to display Negotiated Rates when you are creating a shipment or requesting an online quote. Remember adding accounts to Account Summary on ups.com or within WorldShip will require a copy of your UPS bill/invoice for that account. You will be asked questions directly related to information on your bill to authenticate you and the UPS account.

You will no longer be required to contact your UPS account representative for assistance with activation in the following systems:

  • WorldShip
  • UPS Internet Shipping
  • Time and Cost Calculator on ups.com
  • UPS Developer Kit - Shipping and Rating APIs
     
Negotiated Rates will be available within each system within 24-48 hours (or sooner) once you have authenticated the UPS account. 

Note: All UPS accounts activated for Negotiated Rates prior to January 2nd, 2012 will continue to be available after January 2nd, 2012.


How to Authenticate Accounts to View Negotiated Rates within Your UPS System

WorldShip
The Request Negotiated Rates option will be removed from the Activities menu in WorldShip.

In WorldShip v15 you can request to view Negotiated Rates by selecting the Request Rates button in the Shipper Editor.


UPS.COM
You must add and authenticate your account using Account Summary to view Negotiated Rates in UPS Internet Shipping, Time and Cost Calculator on ups.com, and the UPS Developer Kit - Shipping and Rating APIs.

To add and authenticate an account:

  1. Login to ups.com using your My UPS ID and password.
  2. Select the My UPS tab at the top of the page.
  3. Select Account Summary from the navigation menu or the tab rollover.
  4. From there select Add an Existing UPS Account.
  5. Follow the steps to authenticate the account. To authenticate your account you will need the following information from your most recent UPS invoice: invoice date, amount due, invoice number, and control number.
     
How to View Negotiated Rates within Your UPS System

WorldShip
Once you have authenticated your UPS accounts you must choose how they will be displayed using settings within the Shipper Editor in WorldShip.

UPS Internet Shipping
Negotiated Rates will automatically display for accounts that have been previously authenticated and added to your My UPS Account Summary.

Calculate Time and Cost on ups.com
Negotiated Rates will automatically display for accounts that are selected from the drop-down list that have been previously authenticated and added to your My UPS Account Summary.

UPS Developer Kit - Shipping and Rating APIs
The UPS account must be included within the Account Summary of the My UPS ID sent within the XML Request, and the NegotiatedRatesIndicator must be passed in the XML Request.
