Can UPS provide me with a billing data file to test before I enrol in UPS Billing Data?

Unfortunately, it is not possible for UPS to create a test file with your actual billing data before you enrol for the service. A sample billing data file is, however, available within the User Guide. You can download the sample billing data file to view the billing data file's layout and format. You can also import the sample file into the Billing Analysis Tool and run sample reports.

Can the UPS Billing Data file be modified to better suit my needs?

No, it is not possible to modify the UPS Billing Data file, which can be delivered only in Microsoft® Access (.csv) or Extensible Markup Language (.xml) file formats. You can, however, import both file types into either spreadsheets or databases to modify the layout of the data. You can also use the Billing Analysis Tool to configure the billing data to suit your report preferences.

Why hasn't my billing data file arrived yet?

Your billing data file may not have arrived for one of the following reasons:

  • The billing data file was transmitted but the destination e-mail address was unreachable (because of a problem with your server, for example)
  • The e-mail address we have on file is incorrect

I've lost a recent billing data file. Can UPS resend it to me?

Yes, we can resend it to you but we recommend you first try to locate the e-mail containing the link to the data file. Check your inbox and deleted e-mail folders for an e-mail from "UPS Billing" with a subject of "UPS Billing Information - (your account number)."

What is the layout and format of the billing data file?

How do reference numbers display in the billing data file?

The billing data file can contain up to seven reference numbers. For reference number(s) to be within the file, they must be provided by the shipper at the time of shipment. There are two reference numbers for a shipment and five for each piece within a shipment. In the case of a multi-piece shipment, the lead package's reference numbers will be in the file. The reference numbers will be displayed as entered by the shipper.

I have UPS accounts in multiple countries with multiple currencies. Can I manage them centrally?

Yes, with the Billing Analysis Tool you can manage multiple accounts centrally. When you set up an account using UPS Billing Data, you can request that the billing data be sent to a maximum of five e-mail addresses. This ensures that a company headquarters can have visibility into each country's activities and costs. The Billing Analysis Tool can give you visibility by country, using exchange rates of your choice. You can view your charges in the billed currency or view them converted to a specified currency. Payment is still made in the country where charges are incurred, in the original billed currency.

What do I need to know about compression of my UPS Billing Data?

Your Billing Data is compressed into a "zip" file, which has a .zip filetype.  This allows for the file to be sent to you faster when you download the file.  Windows 2000 and later versions support the ability to uncompress ("unzip") this file.  If you are using a prior version of Windows, there are several programs that can unzip files available.

Why is the account number shown as a formula in the Billing Data File?

The account number is shown as a formula because the billing data file has been imported into Microsoft® Excel under a General format instead of a Text format. When this happens fields which contain the letter E display as scientific notation. You can fix the problem by changing the file suffix from .csv to .txt and saving the new file.

Note: This problem will not occur with the Billing Analysis Tool because the tool imports alphanumeric fields as text values.

Must I convert to the new UPS Billing Data file?

It is recommended, that if you integrated UPS Billing Data into your backend process, you make programming modifications to support the UPS Billing Data file expansion. If you developed a process to integrate the data file directly into your backend, the added fields could potentially cause failure.
